The California Institute for Human Science (CIHS) invites applicants for the position of Part-Time Executive Assistant to the President.
The Executive Assistant to the president represents the Institute in a variety of ways. In daily administrative duties -- whether coordinating correspondence or attending meetings and events -- the Executive Assistant understands all university policies and the President's mission and goals.
CIHS is a small, private, graduate institution that was granted WASC Candidate status, in June, 2018.
The position is part time for now. Hours are anticipated to be ½ time, firmly scheduled in advance in coordination with the availability of the Executive Assistant. The position reports to the Institute’s President, Dr. Thomas Brophy.
Executive Support:Completes a broad variety of administrative tasks for the President; plans, coordinates and ensures schedules.
Researches, prioritizes, and follows up on incoming issues and concerns addressed to the President; determines appropriate courses of action, referrals, or responses.
Works closely and effectively with the President to keep him/her well informed of upcoming commitments and responsibilities, following up appropriately.
Provides leadership to build relationships crucial to the success of the organization, and manages a variety of special projects for the President.
Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the President’s responsibilities.
Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.

Individual must possess knowledge, skills and ability to successfully perform the essential functions of the position.
Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners and donors.
Expert level written and verbal communication skills.
Demonstrated proactive approaches to problem-solving.
Highly resourceful team-player, with the ability to also be extremely effective independently.
Proven ability to handle confidential information with discretion.
Demonstrated ability to achieve high performance goals and meet deadlines in a fast paced environment.

Bachelors degree required.Graduate degree is strongly preferred, or any combination of education and experience that provides the required skills and ability.
Experience and interest in internal and external communications, partnership development, and fundraising.
Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), and Social Media web platforms.
Basic technical skills facility is a strong positive, capability with or facility learning:Google Calendar; Google Drives; website updates (Wix); using a CRM (Insightly, Populi); Adobe Acrobat; Youtube Channel admin; online learning platforms (Moodle); Google Adwords.
